AI Workflow Automation for Law Firms

Operant Automation builds done-for-you AI workflow automations for small and mid-sized law firms across the United States. We automate client intake, conflict check requests, engagement letters, document collection and follow-ups, so your attorneys and staff stop re-typing the same details into three different systems. Most firms have their first automation live within 4 weeks.

What we automate for law firms

  • Client intake: inquiries from your website form, email or intake calls captured once and logged in your practice management system or CRM.

  • Conflict check requests: new client and opposing party names sent to whoever runs conflicts, with the result recorded before a consultation is booked.

  • Engagement letters: generated from your own template with the client's details and sent for e-signature.

  • Matter setup: client record, matter and task list created the moment the engagement letter is signed.

  • Document requests: clients receive a checklist and automatic reminders at 48 hours and 7 days until every item arrives.

  • Consultation scheduling: booking links, confirmations and reminders, with no phone tag.

  • Prospect follow-ups: people who consulted but did not sign get a timed follow-up sequence, so warm leads do not go cold.

  • Reporting: a weekly summary of new inquiries, signed matters and outstanding documents for the managing partner.

How a law firm intake automation works

  1. A prospective client fills in your website form, emails the firm or calls your intake line.

  2. Their details are captured once and written to your practice management system or CRM.

  3. Party names go to whoever runs conflict checks. Nothing moves forward until conflicts are cleared.

  4. Once cleared, the engagement letter is generated from your template and sent for signature.

  5. When the client signs, the matter, client record and task list are created automatically.

  6. The client receives a document checklist, with reminders until every item is in.

Your team reviews each step instead of doing it by hand. The goal is that setting up a new client becomes a 2-minute review instead of 45 minutes of copying and pasting.

Tools we work with

We build on the systems your firm already runs. That commonly includes Clio, MyCase, PracticePanther, Smokeball and Lawmatics, Microsoft 365 and Outlook, Google Workspace, and e-signature tools such as DocuSign. If a system has an API or connects to Make or Zapier, we can usually automate it. You do not need to switch software.

Confidentiality and AI

Lawyers must make reasonable efforts to protect client information under ABA Model Rule 1.6(c) and their state's version of it, and ABA Formal Opinion 512 (2024) explains how competence, confidentiality and supervision duties apply when firms use generative AI. We design with both in mind: automations run inside accounts your firm owns wherever possible, each automation gets only the access it needs, and every automation is documented so you can see exactly what it does with client data. Automations prepare and route the work. Legal judgment stays with your attorneys.

Pricing and timeline

Every engagement starts with a $500 Workflow Audit, credited in full toward your build. Starter builds start at $2,500 for up to 3 workflows, and Core builds start at $5,000 for 3 to 5 connected workflows. Monthly plans that keep everything monitored and maintained are $450 (Starter), $950 (Core) or from $2,000 (Scale). Most clients have their first automation live within 4 weeks. See full pricing.

Frequently asked questions

Will this replace our paralegals or intake staff?

No. It removes the re-typing and chasing so your staff spend their time on clients and casework.

What if our firm uses software you have not listed?

Tell us on the call. If it has an API or an integration with Make or Zapier, we can almost always connect it, and we confirm this during the Workflow Audit before you commit to a build.

Do you work with law firms in every state?

Yes. We work remotely with law firms anywhere in the United States.

What does the Workflow Audit include?

We map your current processes, identify which tasks to automate first, and give you a prioritized roadmap with estimated hours saved per process. The $500 fee is credited in full toward your build.
