AI Workflow Automation for Accounting Firms

Operant Automation builds done-for-you AI workflow automations for accounting, bookkeeping and CPA firms across the United States. We automate client onboarding, engagement letters, document requests, tax season scheduling and recurring client communication, so your team stops chasing missing W-2s by email. Most firms have their first automation live within 4 weeks.

What we automate for accounting firms

  • Client onboarding: one intake form triggers the engagement letter, the document checklist, the client record and internal tasks.

  • Engagement letters: generated from your template and sent for e-signature.

  • Document chasing: W-2s, 1099s, bank statements and receipts requested with automatic reminders until they arrive.

  • Tax season scheduling: appointment booking, confirmations and reminders.

  • Recurring bookkeeping requests: monthly statement and receipt requests sent on schedule.

  • Deadline reminders: client reminders ahead of estimated payment and filing deadlines.

  • Accounting software setup: new client files in QuickBooks Online or Xero created from intake details.

  • Reporting: a weekly summary of outstanding documents and work in progress.

How a client onboarding automation works

  1. A new client completes one intake form.

  2. The engagement letter is generated and sent for e-signature.

  3. When it is signed, the client record, workspace and internal tasks are created and the assigned accountant is notified.

  4. The client receives a document checklist with a secure upload link.

  5. Reminders go out automatically until every document is in.

  6. Your team reviews a complete file instead of chasing the pieces.

Tools we work with

We build on the systems your firm already runs. That commonly includes QuickBooks Online, Xero, Karbon, Canopy, TaxDome, Financial Cents and SmartVault, plus Microsoft 365, Google Workspace and e-signature tools. If a system has an API or connects to Make or Zapier, we can usually automate it.

Data security for tax professionals

Tax professionals are required under the FTC Safeguards Rule to maintain a written information security plan (WISP), and IRS Publication 4557 explains what it should cover. We document every automation, including what data it touches and where that data goes, so it can be referenced in your WISP. Automations run inside accounts your firm owns wherever possible, with the minimum access each one needs.

Pricing and timeline

Every engagement starts with a $500 Workflow Audit, credited in full toward your build. Starter builds start at $2,500 for up to 3 workflows, and Core builds start at $5,000 for 3 to 5 connected workflows. Monthly plans that keep everything monitored and maintained are $450 (Starter), $950 (Core) or from $2,000 (Scale). Most clients have their first automation live within 4 weeks. See full pricing.

Frequently asked questions

When should we start before tax season?

Build outside your busiest weeks. A project started in the fall is live and tested before January.

Can clients still email documents if they prefer?

Yes. Emailed documents can be captured and filed automatically, so clients do not have to change how they work.

Do you work with firms in every state?

Yes. We work remotely with accounting firms anywhere in the United States.

What does the Workflow Audit include?

We map your current processes, identify which tasks to automate first, and give you a prioritized roadmap with estimated hours saved per process. The $500 fee is credited in full toward your build.
